SortedMate ("SortedMate", "we", "us", "our") is an expense-organising tool for Australian sole traders. This Privacy Policy explains how we collect, use, store, disclose and protect your personal information, and your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

We collect the following categories of personal information so the service can work:

You control most of this information — you choose which receipts, income and statements to add.
To extract details from your receipts and bank statements, the images or PDFs you upload are sent to our processing provider (Anthropic) for automated reading. The extracted data is returned for you to confirm. This automated reading is a convenience and may contain errors — you are asked to review and confirm every entry before saving. We do not use this feature to make decisions that have legal or similarly significant effects about you.
We do not sell your personal information. We share it only with service providers that help us run SortedMate, under their respective terms:

Your account and records are stored in Australia (Supabase, Sydney). However, some processing — automated receipt/statement reading (Anthropic), payments (Stripe), application hosting (Render) and website analytics/advertising (Google Analytics, Meta Pixel) — may occur overseas, including in the United States. By using SortedMate you consent to this overseas disclosure for those purposes. We take reasonable steps to use reputable providers with appropriate protections.
Because your records support your tax obligations, we retain your financial records so they remain available to you for at least five (5) years, consistent with Australian Taxation Office (ATO) record-keeping guidance. If you delete your account, we permanently delete your account and associated data (including receipts and stored files); you are responsible for exporting or retaining any records you may still need for the ATO before deleting.
We protect your information with measures including row-level access controls (each user can only access their own data), encryption in transit (HTTPS), and private file storage accessible only via temporary, signed links. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
SortedMate uses your browser's local storage for essential functions and to remember preferences (such as your chosen language and whether you have seen the welcome guide).
Our website also uses Google Analytics 4 to understand, in aggregate, how visitors find and use the site (for example, pages viewed and general location/region), so we can improve it. Google Analytics sets cookies and collects usage data; IP addresses are handled by Google and we do not use them to identify you. We have not enabled Google Analytics advertising/remarketing features. You can opt out of Google Analytics across all websites by installing the Google Analytics Opt-out Browser Add-on, or by blocking cookies in your browser.
We also use the Meta (Facebook) Pixel to measure the effectiveness of our Facebook and Instagram advertising and to show relevant ads to people who have visited our site (remarketing). The Meta Pixel sets cookies and shares certain website activity (such as pages viewed and when you tap a “Download” button) with Meta. You can control or limit this through your Facebook ad preferences, your device or browser ad-tracking settings, or by blocking cookies.
SortedMate is intended for adults operating a business (sole traders). It is not directed at children and we do not knowingly collect information from anyone under 18.
We may update this policy from time to time. We will post the updated version here and change the "Last updated" date. Significant changes may be notified in the app.
